Last week was the Let’s Grow Summit and the vibes were great. I attended some great sessions, caught up with some old friends, got to meet a few Monkeypod members in person, and somehow left feeling both exhausted and motivated.

Keap announced a number of exciting updates and improvements to the software, but they also revealed a change that is of particular importance to the Max Classic community (as a reminder, Max Classic is the edition of Keap formerly known as Infusionsoft).

Introducing…Keap Ultimate

What is Keap Ultimate you might ask?

It’s the version we’ve previously known as Max Classic, and before that Infusionsoft.

Simply put – it’s Keap’s most robust edition; and the changes they announced last week can be boiled down into three categories.

Aesthetic changes, functional changes, and a rebrand.

I recorded a quick video to summarize the changes:

Okay, so – let’s summarize.

Max Classic will now be called Keap Ultimate.

Soon you’ll be seeing a toggle that allows you to switch over and try out the Keap Ultimate interface.

And perhaps most importantly, this change represents massive potential on the infrastructure side of things that will allow Keap’s engineering team to bring new features to Keap Ultimate more easier, reduce the amount of duplicative work they’re doing, and innovate more rapidly.

All in all, I’m excited about this. I’m also excited about the other updates Keap announced, but I’ll have to do a separate post on those.

If you are a consultant, a coach, personal trainer, or anyone who works with clients over a period of time – then you probably sell some version of “sessions”.

And your clients redeem those sessions as they use them, right? If that’s the case, then it begs a very natural question…

How do I track client sessions inside Keap?

You likely will want to keep track of how many sessions a client has paid for, and how many they’ve used – and there are a variety of ways to tackle this one, but I wanna profile one solution using Keap’s native tools.

The basic idea is to create a custom field (whole number type) and then add to it when they pay for more sessions, and subtract from it as they redeem their sessions.

And yes, you can do it automatically – let’s get into the demo:

So, that covers it – the steps are basically as follows:

  1. Create the custom field (whole number type)
  2. Increment the field when they buy (automatically)
  3. Decrement the field when they use their sessions (automatically)

You can add/subtract using the native “field math” feature that is available inside the Set Field Value widget.

This type of tracking opens up a whole bunch of possibility – it would conceivably let you automatically remind people who are running out of sessions, and give you better insight and tracking for folks who have used more sessions than they should have.

When WebinarJam first came out I was using it for a handful of projects, and wrote this blog post covering the process for configuring your webinar and integrating with Keap (which was called Infusionsoft at the time).

But then I moved onto Demio for my webinars, and eventually onto Zoom (here’s a guide for connecting Zoom and Keap) – and the information in my blog post got a little stale. I was no longer using WebinarJam, so I couldn’t keep the post updated.

Fast forward to today – thanks to Nathan Householder from SuccessEngine, we’ve got a brand new update for how you can automatically register your Keap contacts into your webinars hosted with WebinarJam.

There are a few reasons you might want this – but the main one is that if you already have someone’s info, then requiring them to enter it again into another system is never ideal.

In this video Nathan will walk you through the steps to follow to create an HTTP post that automatically registers contacts for your WebinarJam webinars:

So, that covers it – this process might a little technical but if you follow the steps in the video it should give you a reliable way to improve your customer’s experience when registering for your webinars.

How to Pay Commission for Leads (not sales) inside Keap

If have partners sending traffic your way and you want to pay them when their traffic produces new sales, that is the exact use case Keap’s referral partner features are designed to solve – but what if you want to pay them for leads?

Can I pay commission for leads (not sales) inside Keap?

Short answer, yes.

There are a few reasons you might want this: Maybe you want to offer an incentive for leads they register for your free workshop, or maybe you want to offer an incentive for a refer-a-friend type program.

The native Keap Affiliate features CAN handle this, but it takes a little extra ingenuity in order to get things set-up.

In this video I’ll walk you through the steps to follow to create a program that calculates commission for your partners based on Leads they send you (not sales).

So, that covers it – if you need to automatically calculate commission without a sale being processed – you can do it using this workaround.

The key elements here are having a commission program set up that defines the commission you’ll be paying for the lead.

Having individuals enrolled in that program.

Having links those individuals can use.

And then having a process in place to create a $0 order so that the system will calculate the lead commission – and doing this with an Action Set (rather than the create order campaign builder item).

Warning: If you decide to set up a system like this, you’ll want to make sure you have a process for vetting the leads that you’re paying commission on – without a payment being required this process could be vulnerable to bad actors who might want to deceive it.

The phrase “customer journey” is a household term for many small businesses these days, but outside of being a fun buzzword, it’s also a meaningful concept that can actually improve profitability, customer retention, and help small businesses in dozens of other ways.

What is a customer journey?

Simply put, it’s the experience an individual has with your business over time. From their very first interaction, through to the point of transaction, into onboarding, upselling, and everything else.

And so with that framing in mind, an important recognition for small businesses is that your customer journey already exists.

If you have customers, then they have had a journey.

And once we acknowledge that, the conversation starts to shift into challenging the journey, questioning if the aspects of it are intentional, and identifying areas where it could be improved.

Here’s an example of this conversation, and how you can use the Customer Journey lens to examine the experience your customers are having.

The exploration of your customer journey is a complex conversation, where myriad opportunities can emerge.

What do I do next?

My recommendation is to carve out time to have re-examine your customer journey, on your own or with your team, on a recurring basis.

Subscriptions inherently introduce stability and predictability to a business.

But along with that elongated customer relationship they also present their own set of challenges.

Subscription Management Tactics

A common question from people is “How can I let me subscribers upgrade (or downgrade) their subscription?”

Another one is “If a member cancels, how can I remove their access at the end of their billing cycle?”

This one is important because if a member has paid, we don’t want to prematurely revoke their access.

Both of these scenarios can be difficult to solve – but years ago I did a mastermind call with Keap showcasing a native solution that might just give you what you need.

If you want to take things to the next level, there are third party tools that can be really helpful here.

I have used PlusThis to help calculate the duration a member stuck around, which can be great for reporting.

You can also use a members area to let your subscribers manage their subscription, update their credit card, or initiate the upgrade or downgrade process. There are a variety of tools that help with this, but AccessAlly is the one I use (here’s why).
